This year with all things being digital I am excited to share with you how I set up parent-teacher conferences digitally!
Scheduling conferences has always been a struggle. Back in the day, it involved a lot of paper and complicated systems for making sure parents got days and times that worked (although there were always at least 5 people who would sign up for the exact same first, second, and third choice which then led to more notes and emails and shuffling).
This year with since everything is virtual I can't send home notes and I am trying to avoid using paper as much as possible.
Thanks to Classtag I was able to schedule all my conference digitally with NO lost notes (and no paper)!
Using ClassTag to Schedule Parent-Teacher Conferences
ClassTag has a conference scheduling tool right in the app. In the past, I had to go through Sign Up Genius to schedule all my conferences but with ClassTag the scheduler is integrated. Plus my parents are using the app daily so it made it MUCH easier to get my information to them.
It only took me 5 minutes to set up! Let me walk you through how it was done.
From the homepage, click the plus arrow
Click on conferences and then a calendar pops up
When you click on the date you want a scheduler tool opens up for you to select your times
Once you have your days set up, you click continue then add information to send to parents. I included my Zoom link for the meetings too.
You can use the Announce button to send an email notification to parents that conference schedules are up and open for sign-ups. You can even “pin” the announcement to the top of the homepage so parents will see it anytime they visit.
Automatic Parent-Teacher Reminders on ClassTag
Another great feature using this tool is that it has an auto-reminder feature that will notify parents 2 days before their sign up and then again the morning of the conference. No more updating, printing and copying your schedule to send home every few days!
Conference Form
Before each conference, I use this form to help me prepare. I have been using it for a few years and it helps me stay on track and remember what needs to discuss.
I go over any assessments that have been done and use this form to help me keep track of anything else I want to discuss.
